How to organise a trip with friends (without it falling through)

We’ve all been in that WhatsApp group: “we should go away sometime”, thirty messages, three polls, and nobody books anything. Here’s a simple method to make sure the trip actually happens this time.

1. Name one organiser (just one)

A group trip with nobody at the wheel almost always ends in endless discussion. The organiser’s job isn’t to decide everything, it’s to keep decisions moving: start the votes, set deadlines and chase the people who haven’t replied. If nobody steps up, it’s usually whoever came up with the idea.

2. Fix the dates before the destination

This is the most common mistake: debating Lisbon or Barcelona when half the group isn’t free. Dates are the hardest constraint (time off, exams, kids, work). Ask everyone about their availability for two or three possible slots, then pick the one that gets the most people.

Tip: give a deadline to reply, say 48 hours. If someone doesn’t answer, they go along with the group’s choice.

3. Put the budget on the table early

Talking about money is awkward, but it’s what sinks the most trips. Before choosing the destination, agree on a range per person, transport included. A destination everyone loves but that’s over two people’s budget isn’t the right destination for this group.

4. Vote on the destination

With dates and a budget, the choice narrows down on its own. Suggest three to five destinations at most, and vote. A vote stops the loudest person from deciding for everyone. We explain how in our guide to choosing a destination as a group.

5. Book quickly whatever gets pricier

As soon as the dates and destination are voted, book transport and accommodation straight away: they’re the items whose prices climb the most if you wait. One person fronts the money, and you log the expense immediately so you know who owes what. The rest (activities, restaurants) can wait.

6. Build the itinerary together

Everyone shares their ideas (a visit, a restaurant, a beach) and the group picks what goes into the plan. Leave room for improvisation: an overpacked itinerary wears everyone out after two days.
